AI Bot
Trochai's AI bot is a virtual assistant built directly into your WhatsApp inbox. When a client sends you a message, the bot analyzes it, understands what they need, and responds intelligently -- all without human intervention.
What the bot can do
The bot is specifically designed for real estate agencies in Costa Rica. Here are its main capabilities:
Property search
When a client says something like "I'm looking for a 2-bedroom apartment in Escazu", the bot:
- Extracts the mentioned filters (location, price, type, bedrooms, etc.)
- Searches your property inventory using intelligent search
- Responds with the best options, including links to detail pages
Project information
If a client asks about development projects ("What condos do you have?", "I'm interested in Torres del Valle"), the bot searches your project catalog and presents relevant information: location, prices, construction status, and amenities.
Visit scheduling
When a client wants to see a property in person, the bot can offer available time slots based on the assigned agent's Google Calendar. The client selects a time using a WhatsApp button and the appointment is confirmed automatically.
Frequently asked questions
The bot answers general questions about your agency, purchase processes, required documents, and financing, using the context you configure in settings.
Smart escalation
When the bot detects that a client needs human attention (frustration, explicit request, or complex situations), it transfers the conversation to an agent automatically.
How to activate the bot
The bot works with two levels of control:
- Global toggle: Activated in Settings > Bot. This enables the bot for the entire organization.
- Per conversation: Each conversation has its own toggle. When the bot escalates to a human, it automatically disables itself for that conversation.
The bot only processes incoming text messages. If a client sends an image, audio, or other file type, the bot replies with a friendly message explaining that it can only read text messages for now.
Prerequisites
For the bot to work correctly, you need:
- WhatsApp connected: Your WhatsApp Business number must be linked to Trochai. See Connect WhatsApp.
- Properties in your inventory: The bot searches the properties you have uploaded. If you have no properties, the bot cannot recommend anything. See Create Property.
- Plan with available AI messages: Each bot response consumes an AI message from your plan. See Billing to learn about your plan limits.
AI Model
The bot uses advanced AI models to understand and respond to messages. Trochai uses OpenAI (GPT) as the primary engine for generating responses. If a temporary issue occurs with OpenAI, the system automatically switches to an alternative provider so the bot is not interrupted.
Limits and fair usage
Each Trochai plan includes a monthly allotment of AI messages. When they run out:
- The bot stops responding automatically
- The client is notified that an agent will attend to them shortly
- The conversation is escalated to a human agent
You can purchase additional credit packs if you need more capacity.
If your AI messages are exhausted, the bot will automatically deactivate until they renew with the next billing cycle or you purchase an additional pack.
