Add agents and administrators to your organization in Trochai. Assign roles and manage permissions.

Invite Your Team

Trochai is designed for teamwork. You can invite your real estate agency's agents to handle WhatsApp conversations, and other administrators to help you manage the platform.

Only users with the Administrator role can invite new team members. Agents and viewers do not have access to this section.

Available roles

Trochai offers three roles with different access levels:

Administrator

The highest access level role. Administrators can:

  • View and reply to all WhatsApp conversations.
  • Create, edit, and delete properties and projects.
  • Create and manage message templates.
  • View analytics and reports.
  • Access all settings: organization, WhatsApp channels, users, assignment, bot, billing, and tags.
  • Invite and remove team members.
  • Change other users' roles.

Agent

The main role for the sales team. Agents can:

  • View and reply to assigned WhatsApp conversations or from the general inbox.
  • Create, edit, and delete properties and projects.
  • Create and manage message templates.
  • View analytics and reports.
  • Access their personal profile and preferences.

Agents cannot access the Settings section (except their profile and preferences).

Viewer

A read-only role, useful for supervisors or support staff. Viewers can:

  • View WhatsApp conversations (without replying).
  • View properties and projects (without editing).
  • View templates (without creating or editing).
  • View analytics and reports.
  • Access their personal profile and preferences.

Viewers cannot send messages, create content, or access settings.

User limits by plan

Each plan has a maximum number of users (seats):

Each plan includes a fixed number of users. You cannot add extra users beyond your plan's limit.

If you reach your plan's user limit, the invite button will be disabled. You'll need to upgrade your plan or remove existing users to add new ones.

How to invite a team member

Go to Settings > Users

From the sidebar, click Settings and then select the Users tab.

You'll see a table with all current users in your organization, along with a progress bar showing how many seats you've used out of those available in your plan.

Click "Invite user"

Click the Invite user button that appears in the upper right corner, next to the seats progress bar.

Fill in the invitation details

In the dialog that appears, enter:

  • Email: The email address of the person you want to invite. An invitation link will be sent to this email.
  • Full name: The person's name as it will appear on the platform.
  • Role: Select the role the new member will have:
    • Administrator -- Full access.
    • Agent -- Can handle conversations and manage properties.
    • Viewer -- Can only view information, not edit or reply.

Send the invitation

Click Submit. The system will send a Trochai-branded invitation email to the provided address.

The invited person will appear in the users table with an amber "Invited" badge indicating they have not yet accepted the invitation.

Pending invitations do not count toward your plan's seat limit. The seat is occupied when the user accepts the invitation.

Pending invitations

Invitations that have not yet been accepted appear in the users table with an amber "Invited" badge next to the user's name. From there you can:

  • View the status: The amber badge lets you quickly identify which invitations are pending.
  • Revoke the invitation: Click the delete icon next to the invited user to cancel the invitation. This invalidates the link sent by email.

Invitation links expire after 7 days. If the person does not accept in time, you will need to revoke the invitation and send a new one.

How the team member accepts the invitation

When a team member receives the invitation email:

Open the invitation email

The email contains a link to join the organization. The member should click the invitation button in the email.

Create their password

After clicking the link, they will be redirected to a dedicated signup page where they need to:

  • Set a password (minimum 8 characters).
  • Accept the Terms of Service and Privacy Policy by checking the corresponding box.
  • Click Create account to complete the registration.

Access the platform

Once the account is created, the user will be automatically redirected to the inbox and can start using Trochai immediately.

Managing the team

Change a user's role

To change a team member's role:

  1. Go to Settings > Users.
  2. In the Role column, click the dropdown selector for the user you want to modify.
  3. Select the new role (Administrator, Agent, or Viewer).
  4. The change takes effect immediately.

You cannot change your own role. If you need to change the only administrator's role, first assign another user as administrator.

Agent availability

In the users table, the Availability column shows whether an agent is available to receive new assigned conversations:

  • Available (green indicator) -- The agent can receive automatic assignments.
  • Unavailable (gray indicator) -- The agent will not receive new automatic assignments.

Each user can change their own availability from their profile or preferences.

Remove a user

To remove a team member:

  1. Go to Settings > Users.
  2. Click the delete icon (trash can) next to the user you want to remove.
  3. Confirm the deletion in the confirmation dialog.

Removing a user is a permanent action. Conversations that were assigned to them will become unassigned. You cannot remove yourself.
