Connect WhatsApp
Connect your WhatsApp Business number to Trochai using Facebook embedded signup or manual configuration.
Connect WhatsApp
To receive and send WhatsApp messages from Trochai, you need to link your WhatsApp Business number to the platform. Trochai connects directly to Meta's WhatsApp Business API (Cloud API), ensuring a reliable and secure connection.
Only users with the Administrator role can configure the WhatsApp connection. If you are an agent, ask your administrator to complete this step.
Prerequisites
Before connecting WhatsApp, make sure you have all prerequisites ready. If you haven't prepared them yet, check the full WhatsApp prerequisites guide.
In summary, you need:
- A verified Meta Business Manager account at business.facebook.com.
- A phone number not currently registered on WhatsApp or WhatsApp Business App.
- Access to the Facebook account with an Administrator role in your Business Manager.
If you currently use the WhatsApp Business App (the phone application) with the number you want to connect, be aware that migrating to the WhatsApp Business API means you will no longer be able to use the app with that number. The number will be managed exclusively from Trochai.
Recommended method: Embedded Facebook signup
The fastest and simplest method is the embedded signup. With this method, Trochai configures everything automatically: WhatsApp Business account, phone number, and webhook.
How it works
Go to Settings > Channels
From the sidebar, click Settings and then select the Channels tab.
Add a channel
Click the Connect WhatsApp Channel button. You'll be redirected to the connection page where you'll see two options.
Select "Embedded signup" (recommended)
You'll see two cards:
- Embedded signup (recommended) -- Automatic setup with one click.
- Manual setup -- For advanced users who already have API credentials.
Click the blue Continue with Facebook button on the embedded signup card.
Sign in to Facebook
A Facebook popup window will open. Sign in with the Facebook account that manages your business.
Set up your WhatsApp Business account
Follow the steps Facebook presents:
- Select or create a Meta Business Manager: If you already have one, select it. If not, create a new one by entering your business name.
- Create or select a WhatsApp Business Account (WABA): If you already have a WABA, you can select it. Otherwise, a new one will be created.
- Select or register a phone number: Choose an existing number or register a new one. You'll need to verify the number with an SMS code or phone call.
- Grant permissions: Authorize Trochai to manage messages on behalf of your WhatsApp Business account.
Automatic finalization
Once the Facebook flow is completed, Trochai automatically:
- Registers your account credentials (access token, phone number ID, WABA ID).
- Configures the webhook to receive incoming messages.
- Activates the channel.
You'll see a confirmation message and be redirected to the channel list, where your new channel will appear as Connected.
Advantages of embedded signup
- You don't need to manually create a Facebook app or configure tokens.
- The webhook is configured automatically.
- You can create a Meta Business Manager account during the process if you don't have one.
- The entire flow takes less than 5 minutes.
Alternative method: Manual setup
If you already have WhatsApp Business API credentials (for example, if you have a developer on your team or previously used another provider), you can configure the connection manually.
Manual setup requires technical knowledge. If you're not familiar with Meta's WhatsApp Business API, we recommend using the embedded signup method.
Requirements for manual setup
You'll need the following credentials from your Facebook app:
- Phone Number ID -- The unique identifier for your phone number in Meta's API.
- WABA ID -- Your WhatsApp Business Account identifier.
- Access Token -- A permanent access token (System User Token) for the Meta API.
- Verify Token -- A custom token you choose to verify the webhook.
Manual setup steps
Confirm prerequisites
In Settings > Channels > Add Channel, select Manual setup. You'll see a four-step wizard. In the first step, confirm that you meet the prerequisites:
- Active Meta Business Manager account
- Phone number verified in the WhatsApp Business API
- Facebook app created and configured
- Permanent access token generated
Check the confirmation box and click Next.
Enter credentials
Enter your Facebook app credentials:
- Phone Number ID: Found in the WhatsApp Business API panel in your Facebook app.
- WABA ID: Available in the same section of the panel.
- Access Token: Generate a permanent System User token in your Business Manager settings.
- Verify Token: Choose any secret text (for example,
my-secret-token-2024). - Display number (optional): The formatted phone number to show in the interface (for example,
+506 8888 8888).
Click Next.
Configure the webhook
Trochai will show you the webhook URL and verification token that you need to configure in your Facebook app:
- Copy the Webhook URL by clicking the copy icon.
- Copy the Verify Token.
- Open your Facebook app at developers.facebook.com.
- Go to WhatsApp > Configuration and paste the webhook URL and verify token.
- Subscribe to the fields:
messages,message_deliveries,message_reads.
Click Next when you've completed the webhook configuration.
Test the connection
Click Test connection to verify that the credentials are correct. Trochai will attempt to communicate with the Meta API using your access token and Phone Number ID.
- If the test is successful, you'll see a green icon with the message "Connection successful" and the associated phone number.
- If it fails, review your credentials and try again.
Click Finish setup to save the channel.
Verify it works
Once the channel is connected, send a WhatsApp message to the number you configured from another phone. The message should appear in your Trochai inbox within a few seconds.
If it doesn't appear, check the WhatsApp troubleshooting section.
Multiple channels
Trochai supports multiple WhatsApp channels within the same organization. This is useful if your agency manages several numbers (for example, one per branch or one per language).
To add a second channel, repeat the process from Settings > Channels and click Add channel.
In the inbox, you can filter conversations by channel to separate messages from each number.
Manage existing channels
From Settings > Channels you can:
- View the status of each channel (connected or inactive).
- Edit credentials if you need to update an access token.
- Test the connection of an existing channel.
- Delete a channel you no longer want to use.
Next steps
With WhatsApp connected, you can now invite your team so they can start handling conversations.
