Create colored tags, apply them to conversations, and filter to organize your workflow.
Tags
Tags let you organize and classify your WhatsApp conversations by category, sales process stage, priority, or any other criteria useful for your agency. Each tag has a name, a color, and a unique slug.
Creating tags
Tags are created from your organization's settings. Only admins can create, edit, and delete tags.
Go to Settings > Tags from the sidebar menu.
In the bottom section, type the name of the new tag (example: "VIP", "Follow-up", "Interested in Escazu").
Select a color by clicking the color circle. A palette of predefined colors is available.
Click Add tag. The tag will be created with an automatic slug based on the name (example: "vip", "follow_up", "interested_in_escazu").
The slug is generated automatically from the name: it's converted to lowercase, special characters are removed, and spaces are replaced with underscores. The slug must be unique within your organization.
Available colors
Trochai offers a palette of predefined colors for tags. Colors are applied to both the tag badge and background, ensuring good visibility in both light and dark mode.
Plan limits
The number of tags you can create depends on your subscription plan. You can see how many tags you have and how many your plan allows on the settings page (example: "3 of 10 tags used").
If you reach your plan's limit, you'll need to delete an existing tag before creating a new one, or upgrade your plan.
Changing a tag's color
To change the color of an existing tag:
- Go to Settings > Tags.
- Click the color circle to the left of the tag.
- Select the new color from the palette.
- The change is applied immediately across all conversations using that tag.
Deleting a tag
Go to Settings > Tags.
Click the trash icon to the right of the tag you want to delete.
Confirm the deletion in the dialog that appears.
Deleting a tag removes it from all conversations that had it. This action cannot be undone.
Applying tags to conversations
From the inbox, you can add and remove tags on any conversation:
Select the conversation.
In the toolbar, click the More actions button (three dots icon) and select Tags. If the conversation already has tags, a badge shows the count.
A popover opens with two sections:
- Current tags: already applied tags, each with an X button to remove it.
- Available tags: your organization's other tags, with a + button to add them.
Click an available tag to add it, or the X on an existing one to remove it.
Per-conversation limit
The number of tags you can apply to a single conversation also depends on your plan. If you reach the limit, a message will appear: "Tag limit reached (X max). Remove one to add more."
Tags in the conversation list
Tags applied to a conversation appear in the conversation list, below the last message preview:
- Up to 3 tags are shown per conversation in the list.
- Each tag is shown as a small badge with its configured color.
- If there are more than 3 tags, additional ones aren't shown in the list but do appear in the popover.
Filtering by tag
You can filter the conversation list by tag using the dropdown selector at the top. See Search & Filters for details.
Usage examples for real estate agencies
Here are some tags that real estate agencies in Costa Rica find useful:

| Hot | Leads with high probability of purchase or rental. |
| Visit Scheduled | A property visit has been scheduled. |
| Follow-up | Requires a follow-up call or message soon. |
| Closed | Deal finalized (purchase, rental, etc.). |
| VIP | High-value clients or important referrals. |
| Investor | Contacts interested in real estate investment. |
| Pre-sale | Interested in pre-sale stage projects. |
