Team

Invite users, change roles, manage availability, and remove team members.

Team

The Users tab lets you manage your team members. From here you can invite new users, change roles, and remove members who are no longer part of the agency.

User table view

The table shows all members of your organization with the following information:

Seat indicator

At the top of the table you will see a progress bar showing how many seats are in use. For example: 3 of 5 seats. The seat limit depends on your current plan.

Inviting a user

Click the Invite user button in the upper right corner.

Fill out the form with:

  • Email of the new member
  • Full name
  • Role (Admin, Agent, or Viewer)

Click Submit. The user will receive a Trochai-branded invitation email.

Pending invitations appear in the table with an amber "Invited" badge. You can revoke a pending invitation by clicking the delete icon next to the user. Invitation links expire after 7 days.

Pending invitations do not count toward the seat limit. The seat is occupied when the user accepts the invitation.

If you have reached your plan's seat limit, the invite button will be disabled. Upgrade your plan from Billing to add more members.

Roles and permissions

Trochai has three roles with different access levels:

Changing a user's role

  1. In the Role column, click the dropdown selector next to the user.
  2. Select the new role: Admin, Agent, or Viewer.
  3. The change applies immediately.

You cannot change your own role. Another admin must do it for you.

Channel membership

The Channels column shows color pills representing your organization's WhatsApp channels:

  • Filled pill (solid color): The user is a member of that channel and can see its conversations.
  • Dashed pill (outline): The user is not a member of that channel.

To add or remove a user from a channel, click the corresponding pill. Changes apply immediately.

Admins have access to all channels automatically, without needing to be members. Channel membership primarily affects agents and viewers.

Availability

The Availability column shows whether an agent is marked as available to receive automatically assigned leads.

  • A green dot means the agent is available.
  • A gray dot means the agent is unavailable.

Availability directly affects the assignment rules. In round-robin mode, leads are preferentially distributed among available agents.

Each user controls their own availability from the inbox sidebar. The admin can see the status but cannot change it from this table.

Removing a user

  1. Click the trash icon next to the user you want to remove.
  2. Confirm the deletion in the confirmation dialog.
  3. The user will be permanently removed from the organization.

You cannot delete yourself. Another admin must do it. Conversations assigned to the deleted user will become unassigned.
